ECG (European Car-Transport Group of Interest; trading as The Association of European Vehicle Logistics) is a Brussels-based not for profit association (Association Internationale sans But Lucratif, AISBL, according to Belgian law). Who is affected by this privacy policy?

ECG is the controller of the personal data of its members or the representatives of its members, of other people working in the Finished Vehicle Logistics sector, of its contractors or suppliers, of the personal data of job applicants, of the personal data collected on its website, in the field (such as business cards, publicly available contact information on websites, personal information collected during events) or via its ECG News App. If you want to obtain more information on this, please contact us at info@ecgassociation.eu.

What personal data do we collect?

Personal data means any information relating to an identified or identifiable natural person; an identifiable person is one who can be identified, directly or indirectly, in particular by reference to an email.

We may keep the following personal data in order to keep better contact with our members and partners and anyone else interested or involved in the Finished Vehicle Logistics sector:

  • Name
  • E-mail
  • Company and position within the organisation
  • Phone number

In addition, pictures or video footage might be taken of attendees during ECG events and at registration we ask about the dietary requirements of registrants in order to better cater for any special needs.

How do we collect your data?

ECG may collect your data via its website and its ECG News App. A certain amount of information available on or via ECG’s website requires registration in order to log in. Also contacting us via our online contact form or subscribing to our newsletter (ECG News) will require you to provide us with some personal data.

When organisations become members or partners of ECG, they supply personal details of employees to ECG so that we may communicate effectively with the appropriate people. We collect further data on the attendees of various events and Working Group meetings.

How do we use your data?

ECG collects and stores only the personal data needed to communicate on its work and its activities, to communicate with contractors and partners, or to work with its employees. Hence, ECG will store personal data for the shortest time possible in accordance with the pursued purposes.

If you participate in an ECG event a delegate list might be prepared and circulated among those attending the event.

What is the basis for our data collection?

The basis for data collection is our legitimate interest. ECG is an association that acts as a platform for the Finished Vehicle Logistics industry. Networking, education, information sharing, event organisation and Working Group meetings form the core of the association’s activities where members and related parties (sponsors, non-member logistics companies, OEMs, etc) participate. To facilitate its role as an integrator and industry platform we need to collect and store data – this allows us to fulfill our activities, as determined by the members, effectively.

How do we keep your data?

No data is stored outside Europe except in the case where we use a contracted data processor operating under the EU-US or EU-Swiss Privacy Shield Framework. ECG may employ third-party companies to collect and store personal data. These service providers may vary from time to time but currently include Google, MailChimp, Microsoft and Organica. We only work with third-party companies that are GDPR compliant.

Is your data protected?

We take pride in respecting the privacy of our users. We maintain a strict privacy policy and take all appropriate measures to ensure that our servers prevent, to the extent possible, any unauthorized leak, destruction, loss, disclosure, use, access or modification of your data.

What are your rights and how you can exercise them?

Your personal information is fully accessible at any time by contacting ECG at info@ecgassociation.eu. You can ask us what personal data we hold on you and may ask us to correct or complete this data; to unsubscribe yourself from our emails; to limit our access to your data or to delete your personal data from our database.
